A document management automation, which saves your time and nerves. You receive hundreds of faxes every day and don't know how to distribute them? This system gives every paper your customers fill in an individual code; when the system receives a fax, it recognizes the code and sends the paper to the definite folder.

Project background.
One person had a problem: he received hundreds of faxes every day and didn't know how to distribute them. He explained how the whole process of receiving/distributing is organized: users come to the site, fill in the necessary forms, print them and send by fax; then operator diddles tens of hours on sorting these faxes out into the users' folders.
What we have done.
We determined to perfect this system and save his time and nerves. First of all we had to decide whether to use bar codes or character codes. Analyzed every detail we understood that actually there was no need in using bar code scanner, so the decision came by itself - the use of character codes saves a lot of time and efforts on drawing bar codes. As the Optical Character Recognition Module we used a 3d party with GPL license. The system works as follows:
- gives every paper your customers fill in an individual code
- receives a fax and automatically sends it to the folder for incoming faxes
- identifies the code and sends the fax to the definite user's folder
- original fax comes in TIFF format and reaches the user's folder converted to PDF format
- some faxes come up side down, and we taught our system to identify the code on the opposite site of the paper
In spite of everything there was about 2-3% of unidentified documents (faxes of extremely bad quality, faxes which were sent by mistake). To sort out this 2-3% we decided to create a desktop application for such special cases. The system shows the operator unidentified faxes and he tries to identify them. He can zoom them in or out, turn them and, what is of best help, use wild cards - operator fills a search field, substituting the unidentified numbers by question marks; the system finds all the possible matches and indicates the definite users; if there are more than 1 users, operator tries to find the best match, comparing the fax code with the offered matches.
This project shows our experience in working with Optical Character Recognition. Despite the fact that in the process of this project development we didn't use bar code system, we have a certain experience in drawing and using bar codes.
